It is strongly advised for ADASS2019 and IVOA participants to book their hotel by 1 August 2019 23:99 CEST via this web link provided by the Groningen Congres Bureau.
After 1 August, it is still possible to book a room via the above web link by Groningen Congres Bureau. The Congresbureau will do their utmost to accommodate the reservation at the hotel requested by the participant. However, since the block booking expires after 1 August, prices may go up and availability can be limited or the hotel is fully booked. If the requested hotel is fully booked, the Congresbureau will look for an alternative available hotel in the same price range. The Congresbureau will communicate with the participant about this.

NOTE: Since there are several conferences in Groningen from 9-12 October 2019, hotels will be in high demand! We therefore advise you to make your reservation as soon as possible.
The Apollo and Mercure hotels are very close to the ADASS2019 conference venue, MartiniPlaza. The other hotels are located in Groningen city centre. Bus connections from the centre to MartiniPlaza are very good and take about 20-30 minutes. If you want to look into the bus connections see https://9292.nl/en to plan your trip. Use the street address of the hotel as departure, you can choose MartiniPlaza as destination. A walk from the city centre hotels to the conference venue takes about 35-45 minutes.

The Groningen Congres Bureau can only assist if hotel bookings will be made or have been made via the above web link. Changes and cancellations will be dealt with by the Groningen Congres Bureau, so not directly with the hotel. Hotels cancellation policies
Cancellations less than 3 months prior to arrival will be charged for 15%.
Cancellations less than 2 months prior to arrival will be charged for 35%.
Cancellations less than 1 month prior to arrival will be charged for 60%.
Cancellations less than 14 days prior to arrival cannot be accepted.
If your approval to travel to ADASS is not going to happen before the times mentioned above, you may consider to book your hotel using different booking systems which might offer (slightly) higher prices but less strict cancellation policies.
